ERP applications and solutions

Océ delivers workflow management solutions that support a company’s business by optimizing its document print management.

Every day, ERP systems like SAP, Oracle, Navision, and Infor as well as corporate printrooms and data processing centers create a large number of different print jobs. Invoices, personalized mailings, TransPromo documents, technical documentation – no two print jobs look the same. But they all have one thing in common: pre-defined processes that have to be executed manually, step by step.

Workflow management systems from Océ take over the control of these processes – automatically, flexibly and reliably, regardless of which platform you’re using. Whether you have one, two or 20 different process steps, Océ document workflow software monitors and controls all the programs necessary to process a print order. All available resources are managed in an optimum way. What’s more, you always have a clear view of individual job requirements and the overall order situation. For maximum security, Océ document workflow software can merge and analyze log files of all managed programs making it the best way to manage your workflow.

Input management

More than scanning

People often underestimate document input to ERP systems, but it’s crucial. To operate effectively, companies have to process invoices, orders and other incoming documents in a timely, accurate and efficient way. This generally follows the 80% rule. This means that 80% of incoming documents are processed without a problem. But how do you handle the other 20%? Invoices without a purchase order, duplicate invoices, documents that aren’t recognised. It costs time and money to sort out these problems. Reliable classification and perfect optical character recognition (OCR) is a fundamental part of importing paper based documents to an enterprise workflow.

Intelligent workflow using a standard desktop or web-based application interface can effectively reduce or eliminate the majority of your document management problems. You can store documents in a dedicated document management system or feed them directly into your ERP system. The results is a significant reduction in response times to your customers, partners, suppliers and employees and leads to measurable improvement in your information processes.

Don’t forget legal issues either. Governments expect more and more digitally signed and secured documents that can’t be modified.

That's one of the things that makes a flexible and intelligent input management system so important.

Creation

More than a nice look and feel

In today’s one-to-one business world, you’ve got to address customers on a personal level in all aspects of communication. It’s the best way to conduct business, inform and retain your customers and promote your products and services. In fact, businesses that personalise their communications experience the biggest growth in their industries. We have solutions to help you create and produce high-impact documents by making them more personal, more effective and more profitable. The result is cost savings and satisfied customers.

Do you have different input sources, like office, ERP systems or host? All of them have different data formats, generated by a printer driver, a structured XML-format or line data from the host. They all have to be sent to the same destination, possibly with extra information from your marketing department for TransPromo purposes. To do this you need professional tools that create, convert and merge data from different input sources. Sorting and splitting the data to be processed helps save money and speeds up delivery of documents. If you want to archive the documents, you have to create an indexing system for retrieval before you can store them.

Security is one of the biggest challenges in document processing. Océ tools and solutions can create digitally signed PDFs or prevent sending customers the wrong documents.

Document workflow

Fundamental processes for input and output management

For a long time process optimisation of workflow management has been an integral part of the ERP environment of many companies. Why not use these tools for input and output management? The integration of IT processes is one of the latest and most sophisticated challenges in service-oriented business. The main topic is a successive raised system architecture, which is signed by numerous separated IT-initiatives and punctual concatenated applications.

With IT throughout the company, this also applies to document workflow management. Individual process steps should be merged to form an efficient workflow. As well as system integration, service orientation architecture (SOA) is an issue in terms of output management. The idea here is to increase the quality of your service through data integration and optimised workflows. The aim here is more support for your employees at system interfaces, but primarily more service for your customers through fast and error-free order processing. Focusing on audience-oriented communication and the integration of purchasers in the whole document workflow will also increase your business.

It connects existing applications and workflows seamlessly and enriches them with extra functionality. The results is many new opportunities for optimising and monitoring your input and output processes and reducing your costs.

Output management

Today’s output management is more than printing.

Output management is a commonly neglected aspect of an ERP system. But precise and reliable information delivered at the right time to the right place is more and more important for companies. The efficient and timely delivery of internal and external documents to certain destinations can become critical to all business processes. A good working output management system helps insure that information and documents are delivered efficiently and reliably, independent of the media.

Organisations are faced with managing multiple heterogeneous platforms, several operating systems, enterprise information and a large number of output devices like printers, email or fax. Managing and controlling growing volumes of information is becoming increasingly challenging for most enterprise-wide solutions. To control costs, it’s important to have tools to account for and report on the output

Output management includes many document-related activities. You might decide to limit paper consumption and promote online viewing and archiving instead of printing. For this and other reasons, you could decide to select part of a document only or conversely, merge many documents to make one new document. You can postpone publication of a document and archive it temporarily. Of course, you can decide to print the document “as is” all at once on your local desktop printer or mail it to a colleague. You may need to print documents centrally or outsource printing to a specialist partner. You can also create distribution lists where recipients can either receive documents as hard copies or emails. Decisions about output form may not be made at user level, but be controlled by a set of workflow rules.
